Document Handling

Purpose
COIComply receives vendor COIs and related insurance documents so we can prepare compliance reports and monitoring summaries for property teams.
What To Upload
Upload only the documents needed for COI review, such as COIs, endorsements, insurance requirements, vendor lists, renewal documents, and related notes. Do not upload unnecessary sensitive personal information.
Access
Uploaded documents are used for account setup, COI review, report preparation, support, service improvement, security, and administration. Access is intended to be limited to people and service providers who need it for those purposes.
Service Providers
COIComply currently uses third-party providers such as Supabase, Uploadcare, Resend, GitHub Pages, and Cloudflare to operate the service. These providers help with authentication, document upload, email, hosting, and infrastructure.
Security Limits
We use reasonable safeguards, but no online service can guarantee perfect security, uninterrupted availability, or permanent data preservation. Customers should keep their own copies of documents and should not rely on COIComply as the only record repository.
Reports
Reports are based on the documents and requirements provided. Reports are not legal opinions, insurance advice, coverage determinations, or guarantees that a vendor is insured or compliant.
Customer Responsibility
You are responsible for deciding whether a vendor may work, whether a COI is acceptable, whether to request more documents, and whether to consult counsel, a broker, a carrier, an owner, or a risk manager before acting.
